I agree to adhere to all 7 Oaks venue guidelines and requirements. I understand that non-compliance may result in immediate contract termination.
1) Equipment and Performance Standards:
- My equipment must be serviceable and able to operate on a 20 amp power supply.
- I will not exceed a maximum volume level of 90 decibels during any event.
- I understand that 7 Oaks AV equipment is NOT available for my use.
- If the private event / wedding is being held in the Rabbit Hole, I will set up exclusively in the side stage areas, and not utilize any of the 7 Oaks A/V Equipment.
2) Vendor Approval Process
- Submission of this application does NOT guarantee automatic approval
- I must seek and receive prior written approval from 7 Oaks before finalizing any event contract with individual clients.
- I will submit a valid Certificate of Insurance (COI) with this application.
- 7 Oaks reserves the right to reject my application without further explanation.

I agree to adhere to all 7 Oaks venue guidelines, requirements, and the existing caterer contract (below). I understand that non-compliance may result in immediate contract termination. I understand that submission of this application does NOT guarantee automatic approval.
Catering Agreement and Requirements
• Every Caterer that serves at 7 Oaks Event Garden must have a Business License, a Certificate of Liability Insurance in the amount of $1,000,000 and Worker’s Compensation and Employers’ Liability Insurance. A copy of each policy and license must be emailed or delivered before the catered event. The email for & Oaks Event Garden is courtney@7oakseventgarden.com; and the address is 14865 Garner Rd. Beaumont, TX 77705.
• Event set-up is at the discretion of the Events Coordinator, The 7 Oaks calendar, and the client.
• Caterer must provide ice for any scheduled event.
• 7 Oaks Event Garden does not provide china, glasses, tableware, utensils or pots and pans.
• The Loading area is for unloading/loading necessary items for the scheduled event. Catering staff should park behind the Gray Shop on the North side of the Venue and use the sidewalk for the side entrance to the serving area.
• 7 Oaks Event Garden’s tables or chair may not be used outside. However, there are 8ft folding tables for use. Caterer must provide linens.
• Entry to the café for all catering staff is through the Red Shop in the alley. This is for pre-staging or last-minute prep. No cooking.
• All Trash is to be removed and placed in the dumpster immediately following the event.
• The Café floor and service area must be swept, all counter tops, sink and stove, are to be wiped down and cleaned after use. The dishwasher is not for caterer use.
• Caterers providing bartenders must clean all bar surfaces, sweep, mop, and throw trash away.
• Grease is to be disposed of in the trash, not down the drains.
• No frying meats, cheeses or vegetables of any kind.
• No boils of any kind; shrimp crawfish, crab, etc.
• All changes to the set-up plan must be made at least 3 days before the event and must be authorized by the Events Coordinator.
• Fireworks, glitter, gritty substances, flower petals, rice, birdseed, smoke and bubble machines are not permitted at 7 Oaks Event Garden or on the grounds.
• Chocolate fountains require an attendant at all times. There are no exceptions. All spills/drips must be cleaned immediately. Failure to have an attendant will result in immediate removal of the fountain.
• Caterers are busing the tables during the event and removing all items from the tables at the end of the event. All trash and food must be put in trash cans with liners and the liners full of trash and food must be out in the dumpster at the end of the event.
• It is the responsibility of the catering company to remove any ice sculptures to the courtyard to be placed in the garden to yard to melt.
• Caterers are to bring their own extension cords, ladders, carts and utensils.
• Caterers and employees of the caterer are to conduct themselves in a business-like manner. If they do not, they will be instructed to leave the premises and will do so quietly under this contract.
• Caterers must review the Café and Bar Checklist with the Events Coordinator before and after the event. A walk-through of the café with the Events Coordinator or designated 7 Oaks employee is mandatory prior to and immediately following each event. Caterers will be required to sign-off on the condition/cleanliness of the café and serving area.
• Caterer will bear full responsibility for the café equipment while in use for the scheduled event. Damage due to improper usage or negligence will be charged to the caterer. Failure to exercise due care may result in a loss of future privileges to work with 7 Oaks Event Garden.
• Any violation of the above agreement will result in the lessee losing all or part of their deposit.
